GG’s Camp 2024 Positions Vacant

 

With the approval of our Chief Scout and Governor-General for Scouts to hold a camp on the grounds of Government House in Canberra, we now need to assemble a team to oversee and lead this unique event.

 

The timeframes are tight and the profile will be high. We are seeking motivated and experienced people to help us achieve something that has not been done in the lifetime of anyone currently in Scouts. This event will be held in Canberra from Sunday 14 April 2024 to Friday 19 April 2024. 

The Event Management Team are now filling important positions to ensure the success of this event. We will need the full suite of skills, including; event leaders, activity managers, logistics, catering, entertainment, medical, media engagement, VIP liaison, security, risk management and more.

Business Manager

The Business Manager for the Event is responsible for managing the financial and administrative operations of the camp. They work closely with the Camp Director to ensure the smooth running of the camp and the delivery of high-quality programs and services. 

Key Responsibilities: 

  • Develop and manage the camp’s annual budget and financial forecasts.
  • Create and maintain financial records and reports, including income statements, balance sheets, and cash flow statements.
  • Manage accounts payable and receivable, payroll, and tax filings.
  • Negotiate contracts with vendors and suppliers, and oversee purchasing and inventory management.
  • Develop and implement policies and procedures for financial management and risk mitigation.
  • Provide financial reports and updates to the Camp Director, Board of Directors, and other stakeholders.
  • Work with the Camp Director to develop and implement strategies for revenue growth and cost reduction.
  • Ensure compliance with all relevant laws, regulations, and policies related to financial management.
Offsite Activities Manager

The Offsite Activities Coordinator is responsible for planning and coordinating local tours and off-site third-party activities for the Event. They work closely with the Camp Director & Deputy to ensure the safety and enjoyment of campers, while also managing logistics and relationships with external activity vendors. 

Key Responsibilities: 

  • Plan and coordinate local tours and off-site third-party activities, such as tours to Parliament House, War Memorial, Questacon & more.
  • Develop relationships with external vendors and service providers, liasing with our logistics teams for transportation & program.
  • Ensure all activities meet safety standards and regulations, conducting risk assessments and implementing appropriate risk mitigation strategies.
  • Communicate with campers and their families about off-site activities, providing information and answering questions about schedules, costs, and required waivers.
  • Coordinate with camp staff to ensure appropriate staffing levels and scheduling for off-site activities, and ensure all staff receive appropriate training and guidance for each activity.
  • Manage activity-related financial transactions, ensuring accurate record-keeping and compliance with camp policies and procedures.
Coordinator – Site Program

A coordinator in the Site Management, Logistics & Security team is needed to develop and manage the associated complex daily schedule of events supporting the main Government House, Canberra site and remote locations used in the Canberra region. Camping at Government House, Canberra comes with challenging constraints that will require good problem-solving abilities and the ability to develop good relationships with other camp program and support leads. During the camp, you will have at least one assistant site programmer working for you to manage evolving day-to-day needs and your availability, at least remotely, in the lead-up will be crucial. 

Coordinator - Site Services

Someone with experience in coordinating technical solutions is needed in the Site Management, Logistics & Security team focusing on critical services to the site, including potable water, refrigeration, electrical power, lighting, ablutions, emergency response and communications. Ideally, during bump-in through bump-out, you will be available on-site in Canberra to manage evolving day-to-day needs, supported by several assistant site service officers. 

Coordinator - Site Support, Cleaning & Waste

The Site Management, Logistics & Security team is seeking someone with good planning and liaison experience to coordinate site support, cleaning and waste aspects for the Government House, Canberra camp. As the coordinator, you will evolve the concept primarily for cleaning and waste in conjunction with other coordinators to provide sufficient capacities on-site, timely waste removal and, importantly, coordination of contractor support (including limited on-site heavy vehicle access) to solve emerging on-site needs. 

Coordinator – Local Ground Transport

Someone with experience in coordinating ground transport is needed in the Site Management, Logistics & Security to coordinate local ground transport between Government House and the multiple adventurous activity and expedition sites. You may also be assisted by Local Ground Transport officer(s) to coordinate bus stops at multiple sites. 

Deputy Manager – Logistics

A Deputy Logistics Manager is needed to manage multiple equipment and catering needs for the camp. As the Logistics Deputy Manager, you will evolve a vision into workable solutions across multiple transport needs, including supplies/Q-store, equipment and catering. A key aspects to this role will be managing the bump-in and out priority and sequence of large equipment components to Government House, given site access constraints. 

Coordinator – Equipment (Receipt & Dispatch & Bump in/out)

This role in the Site Management, Logistics & Security team coordinates supply needs through the Q-store including support to the multiple off-site locations. Importantly, you will need to evolve a list of stores items and potential suppliers for delivery prior to the camp. You will need to be in Canberra before participant bump-in and stay until after participant bump-out to set up and breakdown the Q-store (as a part of the Logistics and Support area) and manage emerging issues. Assistant logistics officers may also assist you. 

Coordinator – Catering

A coordinator in the Site Management, Logistics & Security team is needed to focus on catering. You will need to develop a set menu, but including food allergy options, and develop an ordering plan to facilitate daily deliveries (into chilled, frozen and dry stores) and you will need to oversee the quality and correctness of daily deliveries. Food packs will then need to be compiled for collection daily by units. You or at least some of your team will need to be available pre bump-in, accept and prepare food packages for unit collection on bump-in. During the camp, you will have several assistant catering officers. 

Deputy Manager – Security

A Deputy Security Manager is needed to manage multiple security needs for the camp. As the Security Deputy Manager, you will evolve a vision into workable solutions for various security needs, including participant (youth and adult) access, contractor access, liaison with the VIP management team and AFP for VIP access as well as physical security (site exit/entry points, contracted security guards and leader roving patrol after hours)Additional sites may also have requirements relating to logistics support and/or parking. A key aspects to this role will be assisting with the bump-in and out priority and sequence and you, or a key members of your team, will need to be available pre and post camp to manage associated aspects. 

Coordinator – Participant, Volunteer and Contractor Security

A coordinator in the Site Management, Logistics & Security team is needed to coordinate participant security needs. You will need to evolve a security concept allowing multiple entry/exits from the main site as well as check-in and out of remote sites. You will need to liaise with Government House to ensure their needs are met as well as across the security team for a seamless security system. 

Coordinator – VIP Security & LO with VIP Team

A coordinator in the Site Management, Logistics & Security team is needed to coordinate VIP security aspects in conjunction with the VIP management team (who are the lead for VIP at the camp). You should be well presented and will need to have good liaison, coordination, and hosting skills. You will need work closely with Government House and the AFP to ensure their needs are met as well as across the security team for a seamless security system. 

Coordinator – Site Physical Security

A coordinator in the Site Management, Logistics & Security team is needed to coordinate physical security aspects. You will need to evolve a security concept maximising with Government House seeking to maximise site entry/exit capacities and, where possible, separating vehicle and pedestrian flows. The coordination of contracted security, scout security contributions and AFP at these points is crucial. You will also need to work with the AFP to meet daily/nightly site security needs and respond to any emerging issues involving participants. You will need to liaise with Government House to ensure their needs are met as well as across the security team for a seamless security system. 

Head of Media & PR

As Head of Media & PR, you will lead media and public relations functions of the Event. This will include oversight of the Media & PR team to provide strategic advice on raising the profile of Scouting. Working with the assistance of an external agency, this role contributes to the development and implementation of proactive and reactive media and public relations strategies and will manage issues and crisis collaboratively that is aligned to Scouting policies.

Head of Communications & Engagement

As Head of Communications & Engagement, you will lead the communications and engagement functions of the Event. This will include oversight of the Communications and Engagement team, promotion and information sharing functions to support Event objectives and drive interest in the Event resulting in well subscribed attendance. The role holder will also be the Event’s front line of communication, not only to attract participants but also in communicating with attendees in the lead up to the event and communications to families during the event as well as any other tasks reasonably requested by the Organising Team.

Activity Base Leads

As an Activity Base Leader, you will be a crucial part of our team, reporting to the Activity Zone Leader. You will supervise and support a team of dedicated assisting staff in delivering an exciting activity and ensuring a safe environment. Your leadership and coordination skills will contribute to creating memorable experiences for participants.

  • Golf – Have fun with your friends are the mini golf, putt-putt, driving range
  • Horse riding – Explore the local region on horse-back
  • Mountain biking – Try staying upright as you check out the Mt Stromlo MTB circuits

 

Challenge Zone

  • Colour run – Have fun with your friends in a colour run
  • MasterChef – Take on our mystery box challenge and see who’s the best Camp Chef
  • Teamwork challenges – Enjoying working as team to successfully meet the challenges
  • Fishing – Who can catch the biggest fish at Camp?

 

Outdoor Adventure Areas Zone

  • The Lake – The Lake is our space to discover the Boating and Paddling skill areas. Build a raft then try your luck on the Lake. Explore the banks of our campsite in canoes or kayaks, or in our sail boats or atop a stand-up paddle board.
  • The Mountain – The Mountain is a place to explore Alpine and Vertical skill areas. Scouts can tackle the climbing towers course, including abseiling, flying fox, vertical climbing challenge and Alpine biathlon.
  • The Pool – The Pool is our space to discover Scuba diving. This half day beginners’ course is your chance to try snorkelling and Scuba diving. You’ll learn the basics of Scuba plus experience what it’s like to breath underwater.
  • The Village – The Village is your opportunity to challenge yourself in the Camping and Bushcraft skill areas. Tackle a series of awesome pioneering activities, try your hand at some cool survival techniques, learn about weather systems, and more.
  • The Cavern – The Cavern is an opportunity to explore the beautiful stalagmites and stalactites of the Wee Jasper caves. Venture down into some of the most beautiful cave systems on the east coast of Australia!

 

Special Interest Area Zone

  • Archery – Hit the bullseye and tells all your friends how you’re Robin Hood! Includes indoor archery range, hatchet throwing and electronic target shooting
  • Rogaining – Have fun racing against the clock to get to all the regaining stations
  • Wide Games – Enjoy a variety of wide games, including marble run and attack the flag
  • Indigenous painting – Learn how to do dot painting and make your own painting masterpiece
  • Photography – Learn some tips and tricks and take some beautiful photos to keep
  • Theatre sports – Have fun with your friends dressing up and acting
  • Emergency services – Learn all about the RFS, SES, and AFP
  • International scouting – Build your understanding about international scouting
  • SDG activity base – Enjoy a range of sustainable development goals activities

Join our team as an Activity Base Assistant and play a vital role in creating an enjoyable and safe environment for our participants. As part of an Activity Base Leader’s team, you will assist in organising and facilitating engaging activities, provide participant support, and contribute to a positive and inclusive atmosphere.

We are looking for members of Scouting with experience in the following areas to join our team:

  • Technical Management
  • Lighting

  • On stage performance or presentation

 

We are also looking for members to support in the following areas (experience not essential):

  • Staging
  • Runners
  • Talent based youth activities
  • Other support roles

 

You will require the following skills and qualifications in order to fit into the team:

  • Love for the creative arts
  • Eagerness to learn
  • Self motivated
  • Ability to work alone and in a team
  • Flexibility to take on a variety of tasks to meet the needs of the team
  • Current Working With Children Check or equivalent
  • Ability to follow all WHS requirements and work in a safe manner.
